FAQs for schools and prospective students

Frequently asked questions, advice and support for schools and prospective students during the coronavirus (Covid-19) outbreak.

A message to offer holders

We understand that you will be thinking about what will happen in the new academic year. We are writing with an update on how we are preparing to welcome you to 皇冠官网 and ensure our campuses are safe.

Advice for Applicants and Offer Holders

Academic Year 2020/21

Can you give us more information about start of term arrangements and how teaching will be delivered?

Our campus will be open.  Your safety is paramount and as the pandemic progresses, social distancing requirements will guide how much teaching we can deliver face to face at any given time.  In order to give you the best education, we will support your learning through:

  • High-quality online lectures to ensure you can get to grips with the material you’re working on before you discuss your ideas with your tutors and your peers.
  • Interactive sessions, online or in person, where you’ll be guided and challenged in discussion with peers and experts in your field.
  • Small-group seminars, lab practicals and studio sessions on campus. Here you will develop your ideas in discussion with others and collaborate to build on your learning.  If you aren’t able to join us in London immediately, we will provide alternative content so you can achieve the same learning wherever you are in the world.
  • A rich range of course materials in our libraries and online to support you with independent pre-reading and analysis, developing your skills as an active researcher.
  • Our libraries will be open, including our Student Centre and learning spaces alongside our huge range of electronic resources (e-resources) to support you in your studies.
  • Many opportunities to pursue your interests outside your programme, including 皇冠官网 volunteering and entrepreneurship programmes, and the clubs and societies run by your Students’ Union
Will I be able to choose whether to attend in person or online?

We encourage students to travel to London where possible as our campus will be open. If you aren’t able to join us in London immediately, we will provide alternative content so you can achieve the same learning wherever you are in the world. Our flexible approach, which will be in place for Term 1, means that even if your arrival on 皇冠官网 campus is delayed by travel restrictions, you can continue to participate fully in our academic community and continue your education with us, connecting with your tutors and fellow students both inside and outside of the classroom.

If you are on campus, then some of your learning goals will be achieved through online learning but you will also be able to take part in small group teaching, personal tutorials and laboratory or studio-based practicals that can be safely accommodated with social distancing.

How is 皇冠官网 planning to manage the practical (e.g. lab) component of some degrees?

This will vary by course because the nature and timing of practical components differs between courses. Where we can safely accommodate social distancing, laboratory or studio-based practical work will be delivered on campus. This may involve changes to the timetable to accommodate smaller class sizes, or changes to the precise timing of the practical component. If you aren’t able to join us in London immediately, we will provide alternative content so you can achieve the same learning wherever you are in the world.

What consideration will be made for students who may be affected by flight restrictions?

We encourage students to travel to London where possible as our campus will be open but recognize that local restrictions on travel across the world may make this difficult or impossible.

Currently the UK Government is imposing a 14-day quarantine for people going into the UK. Will there be any support from 皇冠官网 during the quarantine?

The current Government advice is that anyone coming to the UK from overseas after 8 June (except Ireland) will be required to self-quarantine for 14 days when they get here. This guidance might change and we are monitoring the situation closely. If students are required to self-quarantine, we will do everything we can to support them and make sure their arrival is as comfortable as possible.

Safety on Campus

For in-person teaching, what kind of safety measures will be put in place to protect both students and staff?

At 皇冠官网, your health and wellbeing are paramount. Our priority at all times is to make sure our campus is as safe as possible, minimise the risk to everyone onsite, and follow UK official guidance.

Yes. We have taken extensive advice from Public Health England and our own public health experts and will be following that advice. We have invested in additional specialized cleaning of all our residences and shared facilities to ensure they are safe and will require staff and students to wear face coverings when moving around campus, similar to the requirements for public transport in London. On campus we have a further extensive set of safety measures including one-way systems on campus, social distancing measures in our library and student centres, provision of handwashing and hand sanitizing measures.

Offer Holders

My grades may be affected by either missing courses or being taught by distance learning. What account will you take of this?

We are taking advice from the examination bodies on school and university closures due to the coronavirus outbreak, including the provision of online learning opportunities. We expect extenuating circumstances to be taken into account by the relevant examination bodies.

We are not yet in a position to say definitively how this will affect the decisions we make on applications.

If I am unhappy with my calculated A Level or IB grades and decide to resit the exams, how will this affect my admission to 皇冠官网?

We are happy to consider applicants for 2021 entry should they wish to defer their assessment or are unhappy with the grades they are given in the summer examination result release. Applicants will be required to re-apply and will be considered in competition with other applicants for 2021. However, we will not consider sitting the examinations in the Autumn as re-takes and therefore applicants taking this route will not be disadvantaged in the application process.

I am a private candidate. How will I meet my offer conditions this year?

We understand that this unusual time is particularly difficult for students entering the Summer 2020 examination period as private candidates. In order to meet offer conditions, 皇冠官网 requires that students obtain grades awarded in the relevant qualifications as outlined in their offer, by the 31 August 2020 deadline.

We are aware that it might not be possible for our offer holders to receive an awarded grade given the special circumstances in their exam preparation and the guidelines recently published by Ofqual. 皇冠官网 will honour the offers issued for private candidates who will not be able to obtain awarded grades by re-issuing the offers for the next academic year. Applicants will need to have chosen 皇冠官网 as their firm choice by 18 June 2020.  If they wish to take up this opportunity they will need to reapply for 2021 by the deadline and contact 皇冠官网 Admissions to inform us about their intention to do so.

My conditional offer included the option of taking a STEP 1 examination, but STEP 1 is no longer being offered in 2020, how does this impact my offer?

If your offer was subject to the following conditions: GCE A Level grades A*A*A including A* in Mathematics, A* in Further Mathematics, or A*AA including grades A*A in any order in Mathematics and Further Mathematics plus grade 2 in any STEP paper or a Distinction in Mathematics AEA, unfortunately, the alternative offer is no longer available for those who intended to take the STEP 1 examination. In order to be meet your condition you will be required to achieve GCE A Level grades A*A*A including A* in Mathematics, A* in Further Mathematics.

If your offer specifically required a result in STEP 1, 皇冠官网 Admissions will be contacting you shortly regarding an amendment to your offer.

My grades may be affected by either missing courses or being taught by distance learning. What account will you take of this?

If you will be unable to provide evidence of meeting the condition(s) set out in your offer letter because your institution is unable to provide your final classification please contact as soon as possible to discuss this

Postgraduate Offer Holders

What is the deadline for accepting my offer?

If the offer letter gives a specific date to respond by, you need to respond to your offer by that date, otherwise your offer will be automatically withdrawn.

If the offer letter asks you to respond within 4 weeks, then there is no penalty attached. You will be able to accept whenever you want to and your offer will not be withdrawn.

If no deadline or timeline is indicated in your offer letter, there is no fixed deadline as such.

However, if you will be applying for a Tier 4 visa, you should aim to accept your unconditional offer as soon as possible to allow enough time for your CAS number to be issued (you will need this in order to apply) and for your visa application to be processed.

What is the deadline for meeting the conditions of my offer?

If no deadline is indicated in your offer letter, there will be no specific deadline for you - but you should aim to meet your offer conditions sooner rather than later so that you have enough time to apply for a Tier 4 visa, if necessary.

My grades may be affected by either missing courses or being taught by distance learning. What account will you take of this?

If you will be unable to provide evidence of meeting the condition(s) set out in your offer letter because your institution is unable to provide your final classification please contact us by emailing postgraduate-admissions@ucl.ac.uk.

My programme requires a tuition fee deposit. What is the deadline for paying this?

Due to the current COVID-19 situation, the published payment deadlines have been extended for all offer holders due to start their studies in 2020/21. The extension will give a total of 14 weeks from the date of offer to complete payment. The correct date for individual applicants will be visible in the applicant portal.

If I decide to withdraw my application, will I get a refund on the deposit paid?

Yes, due to the extenuating circumstances of COVID19 we will refund tuition fee deposits to anyone who now decides not to take up their offer and not to defer their offer to 2021/22.

Deferrals

Undergraduate Deferrals

I would like to defer entry to September 2021. How can I do this?

皇冠官网 tries to facilitate deferral requests wherever possible. Please send an email to undergraduate-admissions@ucl.ac.uk stating your request to defer, along with your UCAS number, programme and a brief outline of the reasons for your deferral request.

Is there a deadline by which I must request deferral?

Deferral requests can be considered up to the point of enrolment. If you would like to request a deferral, you will need to contact the Undergraduate Admissions Team via undergraduate-admissions@ucl.ac.uk. Please include your full name and UCAS PID in all correspondence.

Do I still need to meet the conditions of my offer if I choose to defer entry to September 2021?

Yes, all conditions specified in your offer of admissions must still be met by 31 August 2020.

Can I defer my entry to September 2021 after I have accepted an unconditional offer?

Yes, if you would like to request a deferral, you will need to contact the Undergraduate Admissions Team at undergraduate-admissions@ucl.ac.uk stating your request to defer, along with your UCAS number, programme and a brief outline of the reasons for your deferral request.

I hold an offer for entry in September 2021, but would now like to attend in September 2020? Is this possible?

It may be possible to amend your year of entry. Please send an email to undergraduate-admissions@ucl.ac.uk stating your request to bring forward your year of entry, along with your UCAS number, programme and a brief outline of the reasons for your request.

I was made an offer for 2020 entry in the 2019 cycle, and would now like to defer entry to 2021. Can I do this?

皇冠官网 will try to facilitate deferral requests of this nature wherever possible. Please send an email to undergraduate-admissions@ucl.ac.uk stating your request to defer, along with your UCAS number, programme and a brief outline of the reasons for your deferral request.

 Postgraduate Deferrals

Is deferral allowed for my programme?

Most departments are happy to consider deferral requests but there are some exceptions. Please liaise with the Admissions Office about this. Please include your full name and Student Number in all correspondence. postgraduate-admissions@ucl.ac.uk

Is there a deadline for deferring?

There is no official deadline for deferring. However, we would ask that you request a deferral as soon as possible in order to help us with managing our intake. If you are applying to defer after your original start date has passed you will no longer have access to the portal and will need to contact the Postgraduate Admissions office via postgraduate-admissions@ucl.ac.uk

Can I defer after I have accepted an unconditional offer?

It will be fine for you to accept your offer now and then withdraw or request a deferral at a later stage. This will not incur a financial charge. If you end up paying the deposit and then decide to defer, the money you have paid will go towards your 2021/22 tuition fees.

Can I defer for a second time?

This year Admissions are considering second deferral requests for reasons related to COVID-19. If you wish to request this, you should contact postgraduate-admissions@ucl.ac.uk so that your request can be reviewed and forwarded to the department if necessary.

English Language Requirement

I am unable to take my English language test because the IELTS test centres are closed, how will this affect me?

We accept several English language tests as proof of eligibility, including Duolingo, IELTS Indicator and TOEFL iBT Special Home Test. For further information please see the English Language requirements for undergraduate students and postgraduate students.  If you are planning to apply for a scholarship or other funding external to 皇冠官网, please check which English language tests will be accepted by the funding body.

Acceptable English language qualifications for 皇冠官网 Pre-sessional English courses and 皇冠官网 Institute of Education Preparation for Academic Studies in Higher Education courses can be found on each webpage.

Will 皇冠官网 be offering Pre-sessional English courses this Summer?

Yes, we are pleased to still be offering these courses, however they will now be delivered online. For up-to-date information on the courses offered, including if applications are still being accepted, please see: www.4thebenefits.com/pre-sess

皇冠官网 Institute of Education (IOE) degree offer holders interested in doing a short pre-sessional course should apply for the separate 皇冠官网 Institute of Education Preparation for Academic Studies in Higher Education courses

Will 皇冠官网 accept my IGCSE English language results received this summer for meeting the meeting the English language proficiency requirement?

We are happy to consider calculated IGCSE English language grades awarded this summer for meeting the English language requirement. However, please note that for certain qualifications we require a separate Speaking/Spoken language endorsement conferred on the certificate (see the list of acceptable qualifications in our Undergraduate Prospectus). As in previous years, if a separate endorsement is required but it is not listed on your certificate, we will not be able to accept your results and you will need to take an acceptable English language test. If you are unsure whether your exam board will be issuing separate endorsements this year, please contact your school to confirm.

We are aware that Cambridge Assessment International Education will only issue grades for the main syllabus and will not confer endorsement results for IGCSE  English - First Language (0500 or 0990) and IGCSE English as Second Language (0510 or 0993) as published on the CAIE website.  Unfortunately, 皇冠官网 will not be able to accept these syllabuses when awarded without the speaking endorsement this summer.

Immigration

I will need to apply for a visa to study at 皇冠官网. In light of COVID 19 have there been changes to the application process that students need to be aware of?

I am an international student and need a Tier 4 Visa to study in the UK. When will I receive my CAS?

500 Internal Server Error

Internal Server Error

The server encountered an internal error and was unable to complete your request. Either the server is overloaded or there is an error in the application.

You will be asked to confirm that the details we hold about you on record are correct. If anything is incorrect or missing you will be asked to supply this information. Upon receipt of your responses and once your offer is unconditional firm, 皇冠官网 will aim to issue your CAS.

When should I apply for my visa if my teaching begins online?

You can submit your application for a Tier 4 visa up to 3 months before you begin your studies in person in the UK. So, if you begin your studies online, then you will not need a Tier 4 visa at that time.

Will the 2-year post-study work visa be in effect next year? (Graduate Immigration Route)

On 11 September 2019 the UK Government announced the creation of a new immigration route which will enable international students to remain in the UK for two years after they have completed their studies.

The Graduate Route will be available to international students who have successfully completed a degree at undergraduate level or above at a Higher Education Provider with a track record of compliance and who have a valid Tier 4 visa at the time of application.

The new route will be launched in the summer of 2021, meaning that any eligible student who graduates in the summer of 2021 or after will be able to apply for the route. This includes students who have already started their programme and therefore includes students starting in the 2020/21 academic year.

The Graduate Route will replace the Doctorate Extension Scheme visa once it comes into effect.

Further information about the new visa route can be found on the Home Office website

Next Steps - Pre-enrolment/Enrolment

What is pre-enrolment?

Pre-enrolment allows you to confirm that the information we hold about you and your programme is correct. This includes your personal details and information about your programme itself and your fees.

If everything is correct, you’ll also have a chance to pay your fees online (or confirm sponsorship if applicable).

You can easily complete pre-enrolment online on your phone or laptop – it only takes a few minutes to complete.

As part of pre-enrolment, you’ll also be asked to accept a number of academic and financial regulations, data protection statements, and to confirm your membership with Students’ Union 皇冠官网.

When do I complete pre-enrolment?

When pre-enrolment is available for your programme, you’ll receive an invitation email with a link for you to start the process.

This email can only be sent once you've accepted your offer and met any conditions. For further information about the pre-enrolment process, please see 皇冠官网’s website: //www.4thebenefits.com/students/new-students/pre-enrolment

Student Support

What kind of support will be available to me as a 皇冠官网 student?

There is a wide range of support on campus. This includes academic and pastoral support within your Department but also the services provided by our Student Support and Wellbeing team e.g. Counselling Services, Mental Health and Wellbeing, Disability support, support for International Students, Immigration and Visa advice to name a few.  Further information can be found on the Student Support and Wellbeing page here: //www.4thebenefits.com/students/student-support-and-wellbeing

In light of the pandemic, we’ve posted some further information here on our support services: //www.4thebenefits.com/students/support-and-wellbeing/support-during-coronavirus-covid-19-outbreak/support-services-during

Advice for Schools

Students may not be able to take their exams due to school closures – what can they do in this case?

We are currently considering our policies towards students who may be affected and will publish more information as soon as it becomes available.

However, if it proves impossible for your students to take their examinations, 皇冠官网 will honour their offers for the next academic year. If the student wishes to take up this opportunity then they should contact the Admissions team to inform them of their intention to do so. They will also need to reapply for 2021 entry by the UCAS application deadline.

Should students wish to change the qualifications being taken, then they should resubmit an application through UCAS in the usual way after September 2020.

Will the university extend the dates for accepting places/meeting entrance requirements to students who have had their education interrupted?

Yes, in certain circumstances we will. We are taking advice from the relevant exam bodies on school and university closures due to the coronavirus outbreak and are doing everything we can to limit the impact this might have for students wishing to study with us in 2020.

Any amendments to deadlines and/or start dates due to coronavirus will depend on your level of study and department and will be published as soon as they become available.

Initial Teacher Education (ITE) Offer Holders

Deferrals

I would like to defer my offer to September 2021. Is this an option?

Unfortunately, it is not possible to defer an offer of admission for Initial Teacher Education to 2021. You are advised to contact the Programme Lead directly to discuss reapplication for 2021 entry.

Completing Statutory Checks

I need to complete a Disclosure and Barring Service (DBS) check? How can I do this?

Teach First trainees have already been contacted about this process, as their programme of study starts in June 2020. All PGCE students commencing study in September 2020 will be contacted in due course with instructions about how to complete a DBS check via 皇冠官网’s provider, Atlantic Data.

If you have applied for an employment-based route, your employing setting will be in contact to arrange your DBS check.

You are required to obtain a satisfactory Enhanced Disclosure certificate from the Disclosure and Barring Service.

Students completing their DBS check via 皇冠官网’s provider, Atlantic Data, will be able to make use of Atlantic Data’s new virtual ID check pathway. This pathway will require you to upload scanned copies/pictures of your ID to the Atlantic Data website for the ID check process. Your DBS check will be submitted remotely via the Atlantic Data website, and you will be able to log onto the Atlantic Data website to track your DBS check at all stages whilst it is processed.

I need to obtain Occupational Health clearance. How do I do this?

My offer requires me to provide evidence of GCSE English grade C/5 (or a 皇冠官网 approved equivalent) and/or GCSE Mathematics grade C/5 (or a 皇冠官网 approved equivalent). What equivalent tests are accepted?

We are pleased to confirm that 皇冠官网 will accept the online equivalency tests in Mathematics, English, Science (or Biology) offered by equivalencytesting.com provided grade C/5 has been achieved. Please see www.equivalencytesting.com for further information.

I am a PGCE Secondary offer-holder, and am required to complete one week of primary school observation. I am unable to do this as schools are closed due to coronavirus (COVID-19). What should I do?

Offer holders do not need to do anything as it stands.  It is not possible for offer-holders who have not yet completed primary school experience/observation to do so at present, due to the closure and graduated reopening of primary schools, and due to limitations on the numbers of visitors permitted.  We will review this situation on an ongoing basis and communicate any updates, but if as is likely primary school experience is not possible prior to the start of the programme, we will look to explore whether it may be possible to complete it during or at the end of the programme.

We appreciate that at present it is more difficult to obtain a certificate of good conduct due to lockdown and travel restrictions. Please make every effort to obtain this, and keep a detailed record of the attempts you have made. Please see //www.gov.uk/government/publications/criminal-records-checks-for-overseas-applicants for details of the application process for each country.

My offer requires me to complete a Subject Knowledge Enhancement (SKE). How can I do this?

If your offer specifies a face-to-face programme, please contact the ITE Admissions Team. The ITE Admissions Team will contact the Programme Lead to ask for a recommended online SKE. Your offer letter will then be re-issued with the new SKE condition, so that you may obtain funding. Your SKE provider will need to see the offer letter to obtain the funding.

Placements

Where will I be placed?

The ITE Placements and Partnerships team will help you to find the most suitable placement setting(s). You must not find your own placements unless you are specifically asked to do so by your programme team, or by the ITE Placements and Partnerships team.

You will need to complete a short questionnaire to aid the ITE Placements and Partnerships team in placing you.
For employment-based routes, your placements will be administered by your employing setting.

Given that schools are closed, will placements be going ahead as normal?

We are awaiting a final decision on this but are very much hoping that you will be able to go into schools in the autumn term and will be able to gain assessed school experience in the spring and summer terms as has been the case in all previous years.

Fee & Funding

How can I access information on Fees and Funding?

Guidance on how and when to pay your tuition fees, how much they will be, and how to access funding to help you pay for your fees and living expenses while studying with us can be found on the 皇冠官网 Fees and Funding webpages: //www.4thebenefits.com/students/fees-and-funding.

What should I do if I don’t agree with my fee status?

Your fee status is determined during the application process. Please contact the ITE Admissions Team at teaching-admissions@ucl.ac.uk  for further information.

Will EU, EEA and Swiss students studying at 皇冠官网 in the 2020-21 academic year be eligible for home fee status?

Yes. Current EU, EEA and Swiss students, and students joining 皇冠官网 in the 2020-21 academic year, will continue to be eligible for home fee status for the duration of their programme.
